Workplace as a Service
Workplace as a Service means you no longer have to worry about hardware. Everphone makes your employees productive from day one: We deliver ready-to-use laptops, PCs, mobile devices, and matching accessories—directly to wherever your team needs them. Fully automated and API-based.
“Many of the logistical tasks associated with PCs, such as shipping, repair and stocking, have become more cumbersome, pushing up demand for managed PC life cycle services.”
Simplify complex device procurement sustainably with WaaS
IT teams face the challenge of providing more and more devices for an increasing number of use cases—always under time pressure. Workplace-as-a-Service is the solution for anyone looking to simplify, standardize, and accelerate their ITSM workflows for procuring laptops, convertibles, detachables, mobile workstations, desktop or all-in-one PCs (and accessories).
High workload for procurement & rollouts
Security risks & compliance stress
Inflexible structures in hybrid work environments
WaaS benefits for your organization
Workplace as a Service reduces onsite IT support through outtasking. Especially for companies with over 500 employees, the potential is enormous. But we also offer WaaS solutions for smaller organizations.
IT relief
When hiring or offboarding employees, devices need to be deployed or returned quickly. WaaS creates clear processes and handles all operational and logistical tasks—your IT team can finally breathe.
Cost control
Everphone’s Workplace as a Service offers predictable costs: The monthly usage fee includes all expenses for laptops, PCs, and accessories—repairs, replacements, and management included.
Flexibility and scalability
With Everphone, you rent workplace devices tailored to your team’s needs—flexible, scalable at any time, and without high upfront investments. You can adjust the number and type of devices as required.
API-based automation
The Everphone API automates the entire device lifecycle—from ordering to delivery and returns. Devices are delivered ready to use, directly to your employees, and picked up the same way. You receive a complete audit trail.
One process for all devices in mixed fleets
Managing mixed fleets of various manufacturers and device types is a major challenge in everyday IT operations: notebooks, workstations, tower PCs, smartphones, tablets, and the necessary accessories are often procured through different channels. This creates complexity and complicates onboarding for new joiners. WaaS ensures maximum process clarity instead of extra work, duplication, and time loss: with Everphone, you get a single point of contact, one financing model, and one SLA across all devices. With “BARB” (buy and rent back), we also offer a solution for easy fleet migration to WaaS. BARB includes an automatic roll-out plan to renew your current devices.
Configuration & delivery
Today’s users expect convenient and service-oriented solutions. That’s why we always ship our WaaS devices preconfigured and ready to use. For notebooks, this includes Autopilot registration, staging, and even BIOS settings. We deliver the devices free of charge – either to the office or to the recipient’s preferred address. To take over IT tasks and device orders, we can easily connect to your ITSM tools via API.
Lifecycle management: From roll-out to return
Everphone’s WaaS solution plans the entire lifecycle of a device from start to finish and takes care of all operational tasks. It starts with procurement and continues through configuration (staging) and daily operations (updates, security). A WaaS framework agreement defines global standards across all required countries or entities. If a device is damaged or defective, users can request support or a replacement via the Everphone portal. Both come at no additional cost and require no extra approval.
Returns & refurbishment
At the end of a WaaS device’s lifecycle, it is replaced and returned. At Everphone, this process is fully integrated from the start: we handle returns directly with the device users, so your IT team doesn’t have to get involved. 98% of the devices are refurbished and reused elsewhere – which is not only cost-effective but also more sustainable. Beforehand, all profiles, settings, and data are securely wiped. You’ll receive a deletion certificate for your audit trails and documentation of the CO₂ savings achieved by using Workplace as a Service.
BARB: Your jump-start for WaaS
Buy and rent back (BARB) is the perfect jump-start for your transition to Workplace as a Service. Through a rental buyback, we bring your existing devices under our SLA and enable you to modernize your fleet quickly. The video explains this process for Device as a Service (DaaS)—but it works exactly the same for WaaS.
Our WaaS devices
We offer notebooks, PCs and other workplace devices from Apple, Dell, HP, and Lenovo. For mobile devices, we provide models from Apple, Fairphone, Google, Motorola, Nokia, and Samsung. If you’re looking for other manufacturers, just get in touch.
Workplace as a Service | FAQs
How do the SLAs for DaaS and WaaS differ?
They don’t.
Our service level is the same—whether it’s for a mouse, a smartphone, a laptop, or a desktop tower.
What should I do with my old devices, and how do I switch to WaaS?
We buy your old devices through our “buy and rent back” model (BARB) and integrate them into the Everphone service. Your employees keep using the devices without interruption. When needed, the devices can be upgraded and replaced with newer models.
What happens if a device breaks?
We replace defective devices as quickly as possible and at no extra cost. Based on our experience, dual-swap repair scenarios cause unnecessary effort. We prefer to send your employees a new device right away so they can stay productive. The old device is then collected, repaired, refurbished, and reused when possible.
